Payment claims guidance




WEFO is committed to processing payments as quickly as possible for sponsors claiming grant for projects supported under the European Structural Funds programmes.

Guidance for sponsors making claims includes information to help you to submit claims directly to WEFO through WEFO Online, a secure internet service that allows sponsors to interact, share information and conduct business with WEFO via the Internet, in turn, enabling us to process payments more quickly.

The sponsor must fully complete and submit claim forms at the specified intervals even if no new expenditure has incurred and no grant payment is being claimed.  This process helps us to monitor the progress of your project against the project indicators contained in your Delivery Profile. 

You will also be required to submit a Transaction List to support expenditure claimed and a Progress Report summarising the progress of the project during the relevant claim period.
 
Sponsors also need to submit annual and final Audits/Accountant’s Reports to WEFO to certify expenditure claimed for the project.  The External Audit of Projects guidance section provides further details.

Instructions for reporting accountants

These instructions have been produced by the Welsh European Funding Office (WEFO) for the 2007-13 Structural Fund Programmes. They are intended for use by reporting accountants when providing annual and final accountants reports for projects funded under these programmes.
 

Guidance note on defrayment of expenditure (cheque transactions)

Claiming Arrangements

The Claiming Arrangements guidance notes are provided in order to assist you in completing your 2007-13 EC Structural Fund online claim form. It is important that you read and comply with all sections of this guidance, including the annexes which contain some important information.
 

Transaction List

18/10/09
A transaction list must be supplied with every claim form submitted. Failure to submit this information will result in grant payments being withheld.
 

Progress Report

03/07/09
A progress report must be supplied with every claim form submitted.  The Progress Report template will need to be submitted with the claim via WEFO Online.
